How to Send a Review Reminder?
AutomationA review reminder is a follow-up message for a customer who received a review request but has not completed the UpBlick review journey. In the current workflow, reminders are scheduled in advance and sent automatically through WhatsApp when they become due.
Before you start
Make sure that:
- The correct business location is selected.
- A WhatsApp channel is connected for that location.
- The customer has consented to WhatsApp review communications.
- The customer has a valid WhatsApp or mobile number.
- The original review request was successfully sent through WhatsApp.
- The required reminder templates are approved or active.
- Your account has available WhatsApp message usage.
Configure the reminder schedule
Step 1: Select the location
Use the location selector to choose the business location whose reminder workflow you want to change. Reminder schedules and templates are location-specific.
Step 2: Open Reminder Settings
- Open Reviews in the sidebar.
- Select Review Settings.
- Open the Reminder Settings tab.
Step 3: Enable the reminders you want to use
UpBlick provides settings for the 1st Reminder, 2nd Reminder, 3rd Reminder, and 4th Reminder. Turn each required reminder on or off with its switch.
The default schedule for a new location is:
- 1st Reminder: enabled after 1 day.
- 2nd Reminder: enabled after 3 days.
- 3rd Reminder: enabled after 5 days.
- 4th Reminder: disabled, with a 7-day delay if enabled.
Review these defaults before relying on them. A shorter reminder plan may be more appropriate for your customers and communication policy.
Step 4: Set Send after days
For every enabled reminder, enter a value from 1 to 365 in Send after days.
The delay is measured from the date and time the original review request was sent—not from the previous reminder. For example, a value of 7 schedules that reminder seven days after the original request.
Enabled reminders must use increasing day values. A later enabled reminder cannot be scheduled on or before an earlier enabled reminder.
Step 5: Save the schedule
Select Save Changes. UpBlick confirms that the Reminder Settings were updated for the selected location.
Choose the WhatsApp reminder templates
- Open Automation > WhatsApp Templates.
- Select 1st Reminder.
- Choose the required language.
- Confirm that the preferred template is approved, then select Make Active.
- Repeat these steps under 2nd Reminder and 3rd Reminder.
The template marked Active Template is used for that reminder step. A pending, rejected, or not-added template cannot be sent.
If you enable a fourth reminder, UpBlick currently reuses the active 3rd Reminder WhatsApp template.
Send the original review request
The schedule applies only after UpBlick records a successfully sent original WhatsApp review request:
- Open Customers.
- Find the customer under the correct location.
- Choose the option to send a review request.
- Select an approved WhatsApp Review Request Template.
- Select Send Request.
UpBlick calculates each enabled reminder from the original request’s sent time. You do not need to return to the customer record and send each reminder manually.
Which customers receive an automatic reminder?
A reminder is eligible when all of the following are true:
- The original communication was an outbound WhatsApp review request.
- The original request has a recorded sent time and an eligible sent, delivered, read, or clicked status.
- The reminder step is enabled and its delay has passed.
- The same reminder step has not already been sent for that request.
- UpBlick has not recorded a submitted or completed review for that review journey.
- The reminder has not been cancelled for that request.
Opening or clicking the original request does not by itself stop a reminder. UpBlick stops the workflow when it records the qualifying review submission.
When does UpBlick send the reminder?
UpBlick checks for due reminders regularly. A reminder is queued during the next scheduled check after its configured delay has passed, so it may not be sent at the exact minute shown by the original request time.
If several reminder steps are already overdue, UpBlick processes the next unsent eligible step first. Later steps are handled by subsequent checks.
Monitor reminders
- Open Reviews.
- Select Review Requests.
- Choose the required reporting period.
- Review Upcoming Reminders.
- Check the request funnel and WhatsApp activity for the customer’s progress.
Reminder best practices
- Keep the reminder short, polite, and clearly connected to the original request.
- Give customers enough time to respond before the first reminder.
- Use fewer reminders when repeated contact could feel intrusive.
- Use increasing delays instead of sending several messages close together.
- Ask for honest feedback without requesting a specific star rating.
- Do not offer an incentive for submitting a review.
- Respect consent, opt-outs, privacy requirements, and local messaging rules.
- Disable unnecessary reminder steps rather than leaving them enabled by default.
Troubleshooting
Frequently asked questions
Can I send a reminder manually?
The current customer and Review Requests screens do not provide a manual Send Reminder action. Configure the reminder schedule and UpBlick sends eligible reminders automatically.
Are reminders sent through email?
Not in the current automatic reminder workflow. It sends WhatsApp reminders for eligible original WhatsApp requests.
How many reminders can I configure?
You can enable up to four reminder steps for each location. Use only the number appropriate for your customer communication policy.
Are reminder days counted from the previous reminder?
No. Every Send after days value is measured from the original review request’s sent time.
Will a customer receive the same reminder twice?
UpBlick checks whether that reminder step already exists for the original request and does not send the same step again.
What template does the fourth reminder use?
The current workflow reuses the active 3rd Reminder WhatsApp template for an enabled fourth reminder.
